Job Description

The Executive Assistant will be a critical member of a small team in a fast-paced, rapidly growing global company. You will work closely with the CEO managing his calendar and allocating his time for maximum productivity, based on his shifting needs.

  • Manage CEO’s calendar, accounting for day-to-day meetings and movements, both business and personal
  • Act as an ambassador/gatekeeper to the CEO, ensuring that he is kept informed of upcoming events, commitments, and responsibilities with appropriate and timely follow up
  • Attend to emails that require action or follow up in a timely manner
  • Create documents in support of meetings/calls, including agendas, presentations, reports, and proposals
  • Compose high-quality communications from CEO notes and attach appropriate company data
  • Attend meetings and participate in calls, as required
  • Independent follow-up on action items from meetings
  • Coordinate strategic business projects and help guide them to completion according to direction given by the CEO
  • Designate and track tasks and duties to be performed by others, establish and maintain positive working relationships with team members responsible for different aspects of the business
  • Research and report on projects as required by the CEO
  • Handle confidential information with discretion
  • Prioritize and be adaptable to various competing demands
  • Assist with travel arrangements as needed
  • Maintain company directory and other corporate databases and reports as-needed
  • Be prepared to work flexible hours as required by specific circumstances
  • Other ad hoc duties as and when requested

Skills & Requirements

  • 3+ years experience supporting a senior executive (pharmaceutical or medical supply preferred)
  • Bachelor’s degree (preferred)
  • Proven track record of meeting deadlines and successfully managing administrative processes and projects
  • Exceptionally organized, highly organized, highly intuitive and able to anticipate needs
  • Expert written and verbal skills
  • Inherent analytical skills and good financial literacy; able to calculate mathematical equiatioins (addition, subtraction, multiplication and percent)without use of calculator
  • Proven organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Able to meet goals and deadlines in a fast-paced environment
  • Full proficiency with MS Office Tools (i.e. PowerPoint, Word and Excel)
  • High energy, strong work ethic, disciplined execution skills, willingness to do whatever it takes to deliver results
  • Valid, unrestricted US Driver’s License and a clean driving record
